1. Booking & Payment

1.1 Booking Confirmation: A booking is only confirmed once full payment or a deposit (as specified at the time of booking) has been received.
1.2 Payment Methods: Payments can be made via Credit/Debit Card, Cash or Invoice.
1.3 Payments are non-refundable 24 hours after booking. 
1.4 Prices are subject to change. We reserve the right to change the prices and/or introduce discounts/special offers which cannot be retrospectively applied to bookings already purchased.

2. Cancellation & Rescheduling

2.1 Changes to the date or time of a booking is subject to availability and to an admin/loss of revenue fee which will be payable at the time of request. The fee charged will be subject to the notice period. Providing 2 weeks (or more) notice will occur a charge of 10%. Providing less than 2 weeks notice will occur a charge of 15% and less than 24 hours notice a 20% fee will be payable.
2.2 Cancellation by the Venue: If The MegaCentre Rayleigh must cancel or reschedule the booking due to unforeseen circumstances, you will be offered a full refund or the opportunity to rebook at a later date.

3. Usage of the Gaming Room

3.1 Capacity: The Gaming Room can accommodate up to 4 players at a time. Due to space limitations, additional guests may not be permitted entry. However, one parent or non-player is allowed to supervise inside the room.
3.2 Arrival Time: Guests should arrive 15 minutes before the booking start time. Late arrivals may result in reduced playtime, as bookings cannot be extended to accommodate late arrivals.
3.3 End of Booking: Guests must vacate the Gaming Room at the end of the booked session to allow for cleaning and preparation for the next booking. If failure to vacate on time may result in an additional charge. 
3.4 Supervision: Children under 16 must be supervised by a responsible adult (18+) at all times. 
3.5 Food & Drink: Food and drink is allowed in the Gaming Room. This only applies to food and drink purchased from The MegaCentre Rayleigh.
3.6 Damage: Any damage to the Gaming Room, equipment, or consoles caused by negligence, misuse, or intentional acts will be charged to the booking party.

4. Health & Safety

4.1 Player Conduct: Aggressive or inappropriate behaviour, foul language, or actions that pose a safety risk may result in removal from the premises without a refund. Management reserve the right to enforce a total ban 
4.2 Health Restrictions: Guests with conditions such as epilepsy or sensitivity to flashing lights should be aware that video games may contain flashing images. Use of the Gaming Room is at the player’s own risk.
4.3 Cleanliness: Please keep the Gaming Room clean and tidy. Rubbish should be disposed of in the designated bins.
4.4 Fire & Emergency Procedures: In the event of a fire alarm or emergency, guests must follow the signs and instructions of staff and evacuate the premises promptly.

5. Equipment Use

5.1 Gaming Equipment: The Gaming Room is equipped with 4 PlayStation 5 Pro consoles, controllers, and PlayStation Premium. 
5.2 Controller Usage: Damage, loss, or theft of controllers will result in a charge of £50 per controller.
5.3 Game Selection: Game selection is subject to availability and age restrictions in accordance with PEGI (Pan European Game Information) ratings. Staff have the right to refuse access to age-inappropriate content. A member of staff may not always be present in the room but the age restrictions must still be upheld

At MegaCentre Rayleigh, we are committed to promoting safe and responsible access to age-restricted content, in accordance with industry regulations and best practices. Our Challenge 25 policy ensures that only eligible individuals can access age-restricted games and content within our Gaming Room.

1. What is Challenge 25?
The Challenge 25 policy requires anyone who looks under the age of 25 to provide valid identification (ID) to prove they are old enough to access age-restricted games and content. This policy applies even if the legal age requirement for the content is lower (e.g., 16 or 18).

2. When Does Challenge 25 Apply?
Challenge 25 applies in the following scenarios:
Accessing Age-Restricted Games: If a game with an 18+ or 16+ PEGI rating is selected, all players in the room must meet the minimum age requirement.
Supervised Play: If underage players are present, age-restricted games will not be accessible, even with adult supervision.
Booking Confirmation: Bookings made for players under the minimum required age for specific games will be restricted to games with an appropriate age rating.

3. Acceptable Forms of ID
If requested, customers must present one of the following valid forms of photo ID:
Valid Passport
UK or EU Photocard Driving Licence
Proof of Age Standards Scheme (PASS) card
Official ID Card (with holographic or official government branding)
Photocopies, digital images, or expired ID will not be accepted.

5.4 Connectivity Issues: While we strive to maintain uninterrupted gameplay, technical issues, including internet disruptions, may occasionally occur. Refunds will not be offered for minor technical disruptions.

6. Liability

6.1 Personal Belongings: The MegaCentre Rayleigh is not responsible for any lost, stolen, or damaged personal belongings. Please keep valuables with you at all times.
6.2 Injury or Harm: Participation in gaming activities is at the player’s own risk. The MegaCentre Rayleigh is not responsible for injuries that occur as a result of improper use of the equipment or disregard for health and safety guidelines.
6.3 Force Majeure: The MegaCentre Rayleigh will not be held liable for delays, disruptions, or cancellations caused by events beyond our control, such as natural disasters, government actions, or technical failures.

7. Privacy & Data Protection

7.1 Personal Data: Your personal information is collected and processed in accordance with our Privacy Policy. 
7.2 CCTV: For safety and security, the Gaming Room may be monitored by CCTV in accordance with The MegaCentre Rayleigh's privacy policy.

8. Breach of Terms

8.1 Breach of Terms: If a guest is found to be in breach of these Terms, The MegaCentre Rayleigh reserves the right to terminate the session immediately without refund. Guests may also be refused future bookings.
